The Human Capital Management (HCM) Data Collection is a subset of the University Data Warehouse containing biographical information from Workday about workers at Penn, information on their positions and appointments, and financial data on their compensation (encumbrances, payments, costing allocations, and compensation plans. Information about academic affiliates and their appoitments is also included. Person-level payment actuals and encumbrances are extracted from the Payroll Reallocations companion system and included in the HCM collection.
Upon the retirement of PennWorks and the mainframe Personnel/Payroll system, the legacy Salary Management collection will remain available for historical analysis. Only select columns in the EMPLOYEE and JOB_CLASS tables (and the EMPLOYEE_GENERAL and JOB_CLASS_GENERAL views) will be updated with Workday data, to support longitudinal reporting.

The Human Capital Management (HCM) data collection is refreshed on a nightly basis with data from Workday, and in the nights of batch processing for the Payroll Reallocations system. Person, position, appointment and reference data from Workday is replaced nightly in its entirety; payment and encumbrance details are appended for each accounting period. Tables in the HCM collection (available in the DWHCM schema in the Data Warehouse) contain records dating from the implementation of Workday in July 2019.
On a monthly basis, snapshots capture data in the HCM collection as it appeared on the last day of the accounting period. The data collection security applies to all queries of these tables as well.
Information from the retired PennWorks and mainframe Personnel/Payroll systems remains available for historical reporting in the Salary Management data collection, which contains information spanning 1996-June 2019. Only the EMPLOYEE and JOB_CLASS tables and the related EMPLOYEE_GENERAL and JOB_CLASS_GENERAL views (and the snapshot versions EMPLOYEE_SNAP, EMPLOYEE_GENERAL_SNAP, JOB_CLASS_SNAP, and JOB_CLASS_GENERAL_SNAP) will continue to be updated with data from Workday.
The HCM collection tables are available in the Human Capital Management (HCM) BusinessObjects universe, which also includes access to EMPLOYEE and EMPLOYEE_GENERAL and common reference tables. To facilitate longitudinal reporting or updating of older reports to use the HCM data, the objects from the legacy RSALMGT (Salary Management) universe are also available in the Human Capital Management (HCM) universe.
There is no formal training for the Human Capital Management data collection. You may wish to visit the Workday@Penn training page for information about Workday system training, links to tip sheets, and other resources.
Those who wish to access the Human Capital Management data collection in the Warehouse must submit the Data Warehouse Access Request eForm for Human Capital Management (HCM) Data. Although there is no training prerequisite, approval from the requestor's supervisor and school/center access administrator is required. Individuals only requesting access to the Employee General table should complete the Employee General eForm instead.
Confidential person, position, appointment and financial detail will be secured by organization, using the ORG code related to Workday Supervisory ORGs, Academic Units, and financial accounts. If those ORGs fall within the organizations to which user has been granted access, then s/he can see the row. Additional security policies apply to more sensitive data such as Race/Ethnicity, Military/Disability, or SSN data.
For Warehouse users who also have been granted specific Workday Roles, security profiles will be extracted to the Warehouse nightly, so that the data they can view in the Warehouse aligns with their Workday security profile. Those Warehouse users who do not have appropriate Workday access may be granted access to the data collection with appropriate data steward approvals.
Overview. Human Capital Management data is complex, and a listserv and adhoc meetings are available to help you query the Warehouse and retrieve HCM data efficiently and effectively.
Whenever possible, canned queries and reports are provided to give you standardized perspectives on Warehouse data. Before creating your own query, check to see if a canned query or report already exists for the information you want.
Subscription to the listserv. When you are granted access to the HCM data in the Warehouse, a subscription is automatically set up for you to participate in an E-mail listserv called SALMGT-WH@LISTS.UPENN.EDU. (Those with subscriptions to the list are called list members. If any member sends an E-mail note to the list, every member of the list receives a copy.)
When you have a question. If you have a question about the HCM data in the Warehouse, please send E-mail to the list -- and if you have the answer to a list member's question, please E-mail your reply to the list so all the members can benefit from the discussion.
The list is also the place to send E-mail if you notice that some documentation needs updating. For documentation published on the Web, please specify the URL for the documentation that needs to be updated. For BusinessObjects documentation (help for Objects), please specify the Universe, Class, and Object.
Notification about general and special meetings. From time to time, notes are sent to the list to invite list members to general meetings to discuss the Human Capital Management data in the Warehouse, or to special interest group meetings to discuss specific issues.
